Terms of Service
Last updated: October 19, 2026
These Terms of Service ("Terms") govern your use of the Eventopia platform operated by Laraben BV (Zandvoordedorpstraat 149, 8400 Oostende, Belgium; KBO / BTW BE 0756.758.069), accessible at eventopia.be. By creating an account or using the platform, you agree to these Terms.
1. Acceptance of Terms
By accessing or using Eventopia you confirm that you are at least 16 years old (or the age of digital consent in your country), that the information you provide is accurate, and that you accept these Terms and our Privacy Policy.
2. Platform Description & User Roles
Eventopia is a software-as-a-service platform that connects several types of users around events:
- Organizers — create and manage events, sell tickets, run a bar POS.
- Customers — buy tickets and top up cashless wallets.
- Providers — offer services (DJs, catering, production) to organizers.
- Venues — list venues for booking by organizers.
- Agencies — manage multiple artists / providers.
Eventopia is operated by Laraben BV. Laraben BV is not the organizer of the events on the platform: the organizer issues the tickets, runs the event and is responsible for it towards its guests, and the contract for a ticket is between you and the organizer. For tickets and for bar and table orders, Laraben BV collects the payment on behalf of the organizer through its payment provider Mollie (Mollie Connect), or through Stripe when it is used; the payment provider then pays the organizer's share out to the organizer's connected Mollie or Stripe account, after deduction of Eventopia's fees. Bookings between organizers, providers and venues are agreements between those parties.
Organizers and ticket resale: on Eventopia a ticket can only be passed on by a free transfer through the ticket wallet; resale through the platform is switched off. Organizers remain responsible for their own conditions on the resale and transfer of their tickets, and for complying with the Belgian Act of 30 July 2013 on the sale of event tickets, also outside Eventopia. That Act prohibits reselling a ticket at a price higher than its original price (plus any justified costs), and reselling tickets on a regular basis (habitually).
Laraben BV may temporarily close new registrations (for example for organizers) or temporarily put the platform into maintenance mode.
3. Account Responsibilities
- You are responsible for keeping your login credentials confidential.
- You are responsible for all activity under your account.
- You must notify us immediately of any unauthorized access.
- You agree to provide accurate and up-to-date information.
- Business accounts (organizers and their team members, providers, venues and agencies) can turn on two-factor authentication in their settings. Once it is on, a code from your authenticator app (or a recovery code) is required at every sign-in.
- Eventopia support can open your account to solve a problem. These sessions are recorded, and anything done during a session is marked as done by support (see the Privacy Policy, section 5).
4. Tickets, Refunds & Transfer
Tickets are issued by the organizer of the event, who decides whether tickets for its event are refunded. Unless mandatory consumer law provides otherwise, you have no right to a refund. You can pass a ticket on to someone else, but only through the Eventopia ticket wallet, as described below.
- Refunds: a refund always covers the whole order and is paid back in full — the ticket price and any fees you paid, including the platform fee — to the payment method you used. Refunds are made through the platform, by the organizer or by Eventopia support. As soon as a refund is requested, the tickets of that order stop working. If the payment provider refuses the refund, the order and its tickets become valid again.
- If an event is cancelled, the organizer will process refunds through the platform.
- If an event is rescheduled, tickets typically remain valid for the new date.
- Customers acknowledge the Belgian "distance selling exception" (art. VI.53, 12° WER): tickets for leisure events are exempt from the 14-day withdrawal right.
- Transfer: until the event starts, you can transfer a ticket to someone else from your ticket wallet. The recipient receives a personal link that is valid for up to 72 hours. Once they accept, they receive a new QR code and your old code stops working — including any screenshot, PDF or forwarded copy of it. A QR code passed on outside the wallet is not a transfer: the code only admits the first person who has it scanned.
- Resale: reselling tickets through Eventopia is currently not possible; you can transfer a ticket for free through your ticket wallet instead (see above). Under the Belgian Act of 30 July 2013 on the sale of event tickets, it is prohibited to resell a ticket at a price higher than its original price (plus any justified costs), and to resell tickets on a regular basis (habitually). The organizer's own conditions on resale also apply.
5. Cashless Wallet & Bar POS
- A wallet belongs to one event and can only be used for purchases at that event. You can top it up from the moment the organizer enables the wallet for the event until the event ends. A wallet can hold at most €250. If the organizer has chosen that customers pay the payment fees, a fixed processing fee is added to a top-up, the same whatever payment method you choose; it is shown before you pay.
- Unused balance is refunded automatically after the event; you do not have to do anything. Balance you topped up by card or another online payment is refunded to the same payment method: the refund is started automatically 24 hours after the end of the event (or, if a top-up is still being processed at that time, as soon as it is). Depending on your bank or card issuer, it may then take a few more business days before the amount reaches your account. Balance that was topped up in cash is repaid in full by the organizer, by bank transfer: you give your IBAN on a secure link in the statement we email you after the event.
- Transaction costs: once per wallet, a fixed amount of transaction costs is kept, and only from the unused balance that was topped up by card or online payment. The organizer sets that amount per event between €1 and €5 (Eventopia may allow a lower amount for an event; never more than €5), and it is shown before you top up. If the unused card balance is not higher than the transaction costs, nothing is refunded to your card. No transaction costs are ever kept from balance that was topped up in cash. Apart from the transaction costs and, if the organizer has chosen so, the payment fee on a top-up, no other costs (such as administration or refund fees) are charged for the wallet.
- Unused balance is not forfeited and you do not have to claim it: it is refunded automatically after the event, as described above. Only for a cash balance do you give your IBAN, on the secure link in that statement.
- RFID wristbands remain the property of the organizer unless stated otherwise.
6. Provider & Venue Marketplace
Providers and venues may list their services on the platform. Organizers can send booking requests; any resulting booking is a direct agreement between the two parties. Eventopia only provides the messaging and payment infrastructure.
7. Fees & Payment
- Ticketing: free for the first 100 tickets sold per event. From ticket 101 onward, a platform fee of €0.25 per ticket (excl. VAT) applies.
- Bar POS / cashless: a commission on the event's bar revenue, charged in steps, like tax brackets: 5% on the first €25,000, 4% on the part from €25,000 to €50,000 and 3% on everything above €50,000 (example: €60,000 of bar revenue → €2,550 commission, excl. VAT). Each rate applies only to the part of the bar revenue within its step. Tips and service charges are not subject to commission. These are the standard rates, unless a different rate has been agreed for your event.
- Payment processing: when the buyer pays it, the processing fee is a fixed fee per ticket, the same whatever payment method is chosen, and it is shown before payment; it covers the payment provider's transaction cost (Mollie, or Stripe when it is used). The organizer chooses per event whether the buyer pays the platform fee and the processing fee on top of the ticket price, or whether they are deducted from the organizer's payout. When the buyer pays them, they are included in the price shown on the event page.
- Payments and payouts: online payments are processed by Mollie (Mollie Connect); the platform administrator can switch to Stripe (Stripe Connect) instead. Laraben BV collects the payment, and the payment provider forwards the organizer's share to the organizer's connected Mollie or Stripe account, minus the fees due to Eventopia. To sell paid tickets, an organizer must connect an account with the payment provider in use.
- VAT: all Eventopia fees — the platform fee, the processing fee and the bar commission — are exclusive of VAT. Laraben BV charges 21% Belgian VAT on top of them and withholds it together with the fee (when the buyer pays the fees, the buyer pays it on top of the ticket price). For an organizer that is a business established in another EU member state with a valid VAT number, no Belgian VAT is charged: the reverse charge applies (art. 196 Directive 2006/112/EC). Eventopia issues an invoice for the fees withheld per event.
8. Intellectual Property
All Eventopia software, branding, and design elements are the intellectual property of Laraben BV. You receive a non-exclusive, personal right to use the platform for its intended purpose; you may not assign this right to anyone else. You retain ownership of the content you upload (event images, descriptions, profile data) and grant Eventopia a license to display, host and process it solely as necessary to operate the service.
9. Prohibited Conduct
You agree not to:
- Use the platform to promote illegal goods, services, or events.
- Circumvent ticket limits, engage in scalping, or manipulate pricing.
- Upload malicious code, attempt to reverse-engineer the platform, or bypass access controls.
- Harass, defame, or mislead other users.
- Use the platform in a way that infringes the rights of third parties.
We may suspend or terminate accounts that violate these rules.
10. Limitation of Liability
To the maximum extent permitted by Belgian law, Laraben BV's liability under these Terms is limited to the fees paid by the user in the 12 months preceding the event giving rise to the claim. We are not liable for indirect damages, loss of profit, or loss of data. Nothing in these Terms limits liability for gross negligence, wilful misconduct, or damage to life or health.
11. Governing Law & Jurisdiction
These Terms are governed by Belgian law. Disputes are submitted to the courts competent for the registered office of Laraben BV in Oostende: the court of first instance of West Flanders, Bruges division (rechtbank van eerste aanleg West-Vlaanderen, afdeling Brugge) or, for disputes between businesses, the enterprise court of Ghent, Ostend division (ondernemingsrechtbank Gent, afdeling Oostende). As a consumer, you keep the right to bring proceedings before the courts of your place of residence, as mandatory consumer-protection rules provide.
12. Changes to These Terms
We may update these Terms from time to time. Material changes will be notified at least 30 days in advance via email or an in-platform notice. Continued use of the platform after changes take effect constitutes acceptance of the new Terms.
